We understand that plans can change. This policy explains what happens when a student or customer needs to cancel a TheStudySoc session, course or other service.
This policy applies alongside any statutory consumer rights that may apply.
1. Cancelling an individual tutoring session
If you need to cancel or rearrange an individual tutoring session, please contact admin@thestudysoc.com.
More than 48 hours before the session: you may choose a full refund, or to rearrange the session to another available time.
Less than 48 hours before the session: the session may be charged in full.
This is because the tutor's time has been reserved specifically for the student and may no longer be possible to offer to another student. However, TheStudySoc may use reasonable discretion in exceptional circumstances.
2. Failure to attend
If a student does not attend a booked session without giving notice, the session may be treated as a late cancellation and charged in full.
For in-person sessions, arriving at the wrong venue or arriving after the session has substantially finished may also be treated as a failure to attend.
3. Illness
If a student becomes unwell, please contact us as soon as possible. Where possible, we will try to rearrange the session.
Where cancellation takes place less than 48 hours before the session, TheStudySoc may apply the normal late cancellation policy, but we may exercise discretion in genuine circumstances.
4. Revision crash courses
Because revision crash courses may involve limited spaces, venue costs and tutors being booked specifically for the course, different cancellation arrangements may apply. Unless otherwise stated at the time of booking:
- cancellation more than 48 hours before the course begins may qualify for a refund
- cancellation less than 48 hours before the course begins may not qualify for a refund
- failure to attend may not qualify for a refund
Where a course is sold as a package of multiple sessions, cancellation of individual sessions may not result in a partial refund unless specifically stated at the time of booking. This does not affect any statutory consumer cancellation rights that apply.
5. University admissions services
For university admissions support, including personal statement support, interview preparation and application guidance, cancellation rights will depend on the type of service booked and whether the service has already started.
If the customer asks TheStudySoc to begin providing the service during a statutory cancellation period, the customer may be required to expressly request that the service begins immediately.
If the customer subsequently exercises a statutory cancellation right after the service has started, TheStudySoc may be entitled to charge for the proportion of the service already provided, where permitted by law.
6. Online services
Where an online session has been booked, the same 48-hour cancellation policy applies unless otherwise stated.
If an online session cannot take place because of a technical problem caused by TheStudySoc, we will normally offer a replacement session or an appropriate refund.
If the problem is caused by the student's device, internet connection or failure to access the agreed platform, the normal cancellation policy may apply.
7. TheStudySoc cancelling a session
If TheStudySoc needs to cancel a session, we will normally offer an alternative session, or a full refund for the cancelled session if an appropriate replacement cannot be arranged.
We will not charge a customer for a session that TheStudySoc cancels and does not provide.
8. Venue changes
If an in-person session venue becomes unavailable, TheStudySoc may move the session to a suitable alternative venue. We will provide reasonable notice where possible.
If a significant venue change means that the service can no longer reasonably be provided as agreed, we will discuss an appropriate alternative or refund where applicable.
9. Statutory 14-day cancellation rights
Where a customer enters into a contract with TheStudySoc online or otherwise through a distance contract, statutory cancellation rights may apply.
In many cases, consumers have a 14-day cancellation period beginning when the service contract is entered into. Customers do not generally have to give a reason for exercising this statutory cancellation right.
However, there are specific rules concerning services that begin during the 14-day cancellation period. If you want a service to begin during this period, TheStudySoc may ask you to expressly request that the service starts immediately.
If you subsequently cancel during the applicable statutory cancellation period, TheStudySoc may be entitled to charge for the proportion of the service already provided, where permitted by law.
Certain legal exceptions may also apply. Nothing in this policy is intended to remove or restrict statutory consumer rights.
10. How to request a refund
Refund requests should be sent to admin@thestudysoc.com. Please include:
- your name
- student's name
- booking or course details
- date of the session or course
- reason for cancellation
- whether you would prefer a refund or rearrangement, where applicable
11. Processing refunds
Where a refund is due, TheStudySoc will normally issue it using the original payment method. We aim to process refunds within 10 working days of confirming that a refund is due. The time taken for funds to appear in your account may depend on your bank or payment provider. Where the law requires a refund to be made within a particular period, we will comply with the applicable legal requirement.
12. Exceptional circumstances
TheStudySoc may use discretion where there are exceptional circumstances, for example:
- serious illness
- bereavement
- serious family emergency
- unexpected circumstances outside the customer's reasonable control
Evidence may be requested where reasonably necessary. Any discretion exercised by TheStudySoc does not create an automatic right to the same outcome in future circumstances.
13. No refund for academic outcome
TheStudySoc provides educational support but cannot guarantee a particular academic result or university outcome. A student will not be entitled to a refund simply because:
- they did not achieve a particular grade
- they were not accepted by a university
- they did not receive a particular university offer
- they did not achieve a desired admissions test score
- they did not achieve the expected academic outcome
Students are responsible for their own examination and university applications, subject to the support provided by TheStudySoc.
14. Complaints about refunds
If you believe a refund has been incorrectly refused, please contact admin@thestudysoc.com. We will review the circumstances and respond as soon as reasonably possible.
