These Booking Terms and Conditions apply to services provided by TheStudySoc. By booking or purchasing a service from TheStudySoc, you confirm that you have read and accepted these Terms and Conditions.
Where a student is under 18, a parent or legal guardian may make the booking on their behalf. Students under 18 may also submit enquiries and make arrangements directly, but TheStudySoc may require a parent or legal guardian to be involved where appropriate.
1. About TheStudySoc
TheStudySoc provides educational and university admissions support for students aged 11 and above. Our services may include:
- one-to-one tuition
- group tuition
- GCSE revision
- A-level revision
- revision crash courses
- university admissions guidance
- UCAS support
- personal statement guidance
- university course guidance
- university interview preparation
- admissions test preparation
- academic support and revision planning
Services may be delivered in person at an agreed venue or online. The specific details of each service will be provided before booking.
2. Booking a service
A booking is confirmed once:
- the relevant service has been selected
- the required information has been provided
- payment has been successfully made, where payment is required in advance
- TheStudySoc has confirmed the booking, where confirmation is required
Customers should check all booking information carefully before completing payment.
3. Information provided during booking
Customers are responsible for providing accurate information. This may include the student's name, age, school or college, year group, subject, examination level, relevant academic information, contact details and parent or guardian details where applicable.
TheStudySoc should be informed of any information that is reasonably necessary for us to provide the service safely and appropriately.
4. Students under 18
TheStudySoc welcomes bookings and enquiries from students aged 11 and above. Students under 18 may communicate directly with TheStudySoc by email. However, TheStudySoc reserves the right to require a parent or legal guardian to confirm or participate in arrangements where this is appropriate, particularly in relation to:
- payments
- safeguarding
- medical or additional support information
- attendance
- venue arrangements
- complaints
- changes to services
5. In-person sessions
In-person sessions will take place at a venue specified at the time of booking or communicated to the customer before the session. Customers are responsible for ensuring that students arrive at the correct venue at the agreed time.
Unless specifically agreed otherwise, TheStudySoc does not provide transportation to or from sessions. Students should not remain at a venue outside the agreed session time unless alternative arrangements have been confirmed.
6. Online sessions
Where online sessions are offered, TheStudySoc will provide information about the platform and joining arrangements before the session. Students are responsible for having:
- a suitable device
- a reasonable internet connection
- access to the relevant platform
- an appropriate place from which to participate
TheStudySoc is not responsible for problems caused solely by a student's device, internet connection or personal circumstances. Where a technical issue on TheStudySoc's side prevents a session from taking place, we will normally offer a replacement session or appropriate alternative.
7. Punctuality
Students should attend sessions on time. If a student arrives late, the session will normally still end at the scheduled time. Where a tutor is late, TheStudySoc will make reasonable efforts to provide the full amount of tuition or offer an appropriate alternative.
8. Student behaviour
Students are expected to behave respectfully towards tutors, staff and other students. TheStudySoc does not tolerate:
- bullying
- harassment
- discriminatory behaviour
- threatening behaviour
- abusive language
- deliberate disruption
- inappropriate sexual behaviour
- behaviour that creates a safety or safeguarding concern
Where serious or repeated inappropriate behaviour occurs, TheStudySoc may suspend or terminate a student's participation.
9. Safeguarding
TheStudySoc is committed to safeguarding children and young people. Our Safeguarding and Child Protection Policy forms part of these Terms and Conditions. All tutors working directly with students will be subject to appropriate safeguarding procedures and DBS checks where applicable. Safeguarding concerns will be dealt with in accordance with our Safeguarding and Child Protection Policy.
10. Tutors
TheStudySoc may use different tutors depending on the subject, course or service. All tutors are expected to:
- act professionally
- maintain appropriate boundaries
- protect student confidentiality
- follow TheStudySoc's safeguarding procedures
- follow relevant data protection procedures
- provide services with reasonable care and skill
TheStudySoc may substitute a tutor where necessary due to illness, availability or other circumstances. Where a tutor is replaced, we will aim to ensure that the replacement is appropriately qualified or experienced for the relevant service.
11. Academic materials
Teaching resources, worksheets, presentations, revision materials and other content provided by TheStudySoc are intended for the personal educational use of the student who has purchased the relevant service. Unless we give permission, customers must not:
- reproduce materials commercially
- sell materials
- distribute materials publicly
- upload materials to public websites
- use materials to provide competing educational services
12. University admissions support
TheStudySoc may provide guidance relating to university choices, degree courses, personal statements, UCAS applications, interviews, admissions tests and academic preparation.
Our guidance is educational and advisory. TheStudySoc does not guarantee:
- admission to a particular university
- admission to a particular course
- a particular examination grade
- a particular admissions test score
- receipt of an offer
- receipt of a scholarship or funding
Final admissions decisions are made by universities and relevant admissions bodies. Students remain responsible for checking application requirements, deadlines and information submitted to universities.
13. Personal statements and application materials
Where TheStudySoc provides support with personal statements or other application materials, the purpose is to help students develop and communicate their own experiences, achievements and suitability. Students remain responsible for ensuring that their final application accurately represents their own work, experiences and achievements. TheStudySoc does not support plagiarism, fabrication or dishonest applications.
14. Fees and payment
The applicable price will be displayed or communicated before the customer completes their booking. Customers must pay using the payment method made available by TheStudySoc. All applicable charges will be communicated before payment. Where payment is not received when required, TheStudySoc may cancel or suspend the booking.
15. Changes to services
TheStudySoc may occasionally need to change tutors, venues, session times, course arrangements or online platforms.
Where a significant change affects a confirmed booking, we will provide reasonable notice where possible and offer an appropriate alternative where necessary.
16. Cancellation and refunds
Cancellations and refunds are dealt with under TheStudySoc's Cancellation and Refund Policy. Nothing in our cancellation policy removes or limits any statutory consumer rights.
17. Complaints
If you are unhappy with a service, please contact admin@thestudysoc.com. We will consider complaints fairly and aim to respond within a reasonable period.
18. Liability
TheStudySoc will provide its services with reasonable care and skill. Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so. TheStudySoc is not responsible for losses arising from circumstances outside our reasonable control. We are not responsible for university admissions decisions, examination results or other decisions made by third parties.
19. Events outside our control
TheStudySoc will not be responsible for failure or delay caused by circumstances outside our reasonable control. This may include:
- serious illness
- extreme weather
- venue closure
- transport disruption
- power or internet failure
- government restrictions
- emergencies
- other unforeseen circumstances
Where possible, we will offer an alternative session or appropriate solution.
20. Consumer cancellation rights
Where a booking is made online or otherwise qualifies as a distance contract, customers may have statutory cancellation rights in addition to the cancellation arrangements set out in our Cancellation and Refund Policy.
Where applicable, customers may have a 14-day right to cancel. If a customer asks TheStudySoc to begin providing a service during the statutory cancellation period, the customer may be required to expressly request this.
Where a customer cancels after services have started at their request, the law may allow TheStudySoc to charge for the proportion of the service already provided. Further information is set out in our Cancellation and Refund Policy.
21. Confirmation of bookings
After an online booking, TheStudySoc will provide confirmation containing relevant booking information and these Terms and Conditions, or information about where they can be accessed. Customers should retain their booking confirmation for their records.
22. Governing law
These Terms and Conditions are governed by the law of England and Wales. Any dispute will be subject to the applicable courts of England and Wales.
